The Ultimate Corporate Holiday Party Timeline

It’s already October? Uh oh. You better start cracking if you’re planning on hosting a party on the holidays.

There are so many wonderful reasons to celebrate from Thanksgiving to New Year’s Eve, everything from venues to party favours are in short supply, and your guests are filling up their calendars, their time is about to be at a premium. So, what are your milestones for your holiday part and when should you have them completed? You’ve come to the right place if you’re building a holiday party timeline.

The Ultimate Corporate Holiday Party Timeline

Corporate events are tricky, and that’s true of a corporate holiday party. Standards are going to be higher than a personal party, and they take more team input. They require longer lead times due to plan approvals, stakeholders, budget approvals, and legal compliance. Even your contracts with your vendors need to be strict and legally compliant and your vendors need to be thoroughly vetted for reliability and reputation.

3 to 4 Months Out (August – September)

You might think this is a little early to start, but we recommend that you complete the following milestones about 3 to 4 months early.

Plan, Budget, and Approval

Build your plan with input from your team, define your objectives, and the overall budget. If your corporate holiday party is internal, you can relax a little. The minute you’re inviting clients or colleagues, you are creating a public event. Suddenly, a corporate holiday party becomes an opportunity for the company to define itself, and an experience to their clients. This means everything has to be as close to perfect as possible. As you define your goals and prospective budget, get executive sign-off.

Secure the Venue

At this time, you also need to select and secure a venue. You need to secure your venue early because spaces book fast, particularly Thursdays and Friday nights (prime time for a corporate holiday party) book out months in advance.

Hire a Planner

For a corporate holiday party, and this is especially true of a larger event, a planner is essential to help you coordinate your multiple vendors and venue. A planner will help you lock down your trusted venue and vendors quickly, with solid input on the experience you should expect with contracts you will be happy to pass on to accounting.

2 Months Out (October)

At eight weeks out, you’re extremely busy making decisions that will help you create your perfect corporate holiday party.

Lock in Major Vendors

Now is the time to visit caterers and try samples, meet with light/AV crews, and vet your entertainment. Your major vendors need to be locked in. Rely on your Event Planner to suggest options and execute negotiations on your behalf. They are familiar with local vendors, and probably have a list of trusted people for you to work with, taking the stress out of choosing a caterer.

Save the Dates

Block off the date on company calendars to ensure most of your employees are free and aware of the corporate holiday party. Send Save the Date emails to all on the guest list. If you are working with an event planner, they should handle most of the details with invitations and handling the guest list, making this step smooth sailing for you.

Design the Night

Now that you have your vendors and entertainment organized, you can start to sketch out the flow of the evening. Check in with any interested supervisors and ensure that any executive speeches, award presentations, or raffles/games are slotted in with enough time for transitions. Your corporate holiday party planner will be a great help here. A corporate holiday event has to account not only for your company’s internal standards, but ensuring a safe and accessible space as well, without impacting the experience for your guests. Rely on your event planner, who should be familiar with local standards.

Design the Printed Materials

Engage a designer to build a defining graphic identity for the event. That could just mean adding some holiday flair to your company branding, or building a themed event to bring the holiday spirit to your company. For a corporate holiday party, you should expect to need invitations, signage, party favours, and banners. You may even want custom decorations like printed napkins or tablecloths to really bring up the holiday cheer.

1 Month Out (November)

The light is at the end of the tunnel, but you still have a ways to go.

Send Out Official Invitations

A full month ahead of your corporate holiday party, send your official invitations. To ensure the highest attendance, send physical invitations to people outside your organization along with digital invitations. For employees, an email will do. Make sure you have an RSVP process set up. That means having somewhere to collect dietary restrictions and plus-one counts.

Finalize AV & Staging

Your Event Planner will have your venue’s layout, so meet with them to confirm where you want a stage (if required), define microphone setups, and projector requirements for presentations. If the room is an empty box, design the table set up, dance floor, and where your DJ should go.

Music and speeches

If there are speeches, issue a list of speeches and make sure your presenters understand how long their speeches should be, and how they should present their AV materials. Check in with the DJ and make sure you have a list of example songs you would prefer or a solid set of guidelines.

Order Printed Materials

It’s time to order any printed materials or decorations you’ve been perfecting. Think about branding & signage, print banners, napkins, and customized company party favors.

2 Weeks Out (Late November / Early December)

It’s time to finalize the details. Submit your final headcount, and make sure you provide the catering and venue teams with the guaranteed guest count. That also includes any information about dietary restrictions, and any disability accommodations the venue might have to make.

The Space

Finalize that floor plan you’ve been working on. Now that you have your numbers and your guest list, map out seating charts, and confirm the number of tables to decorators and florists. If you need registration tables and security checkpoints for your event, you can finalize where these are to go.

The Timeline

That timeline you’re building is going to be the backbone of your event. From it, you can lock in your vendor timeline, which will probably be detailed down to the minute to make sure vendors can arrive and set up in time. Lastly, it will include deadlines for clearing the space following the event.

All internal leaders, internal and venue security, and external vendors should also get the master timeline.

Week of the Event

Most of your work needs to be done by the week of the event, now you’re just waiting for the world to catch up to you. You have this week if you bump into issues like incorrect signage, or a problem with the DJ. Your event planner can help you work your way out of a jam.

You will attend an on-site walkthrough to pass on the AV equipment, slide decks, and lighting cues with the venue technician.Remember to organize your vendor payments if you are not using a corporate card on the event. Remember to prep tip envelopes for the service staff.

Remember To Enjoy Yourself

With everything organized, we hope you can relax and enjoy the night! A corporate holiday party can be a special opportunity to build bonds with your team, network with coworkers you don’t see very often, or connect with clients and establish lasting bonds.

One way to do this is to keep your Event Planner with you through the whole process and let them take over for the corporate holiday party. The day of the event will involve a lot of managing vendors, making sure guests get where they need to be, and controlling a timeline with many moving parts. Depending on the size of the event, that could mean keeping track of hundreds of shifting parts.

Thankfully, a good event planner will also be a day-of event coordinator. Your event planner should work with you from the very conception of your corporate holiday party to the day-of execution, making sure that you have someone dedicated to your vision with you every step of the way.
